There may be no getting around planning a conference for your business. What you might not like is the carbon footprint it leaves behind. Conferences can generate a lot of waste and use a lot of electrical energy too. This is especially true if you rent a hotel conference room. There are a few ways you can keep your energy output down to a minimum and still have a great conference.

Use LED Lighting

You could check with the hotel to see if their conference room offers LED lighting already, and if they don't, you could use your own. LED is the most energy-efficient type of lighting and also one of the most cost-effective.

LED lighting comes in a wide variety of designs, colors and even shapes to create a dramatic look or create the right atmosphere or mood you want for your conference. The energy output is low on them so that is one less worry when it comes to your carbon footprint.

Use Projections As Backdrops

Instead of using sets and backdrops for your speakers at your conference, use projections instead. Sets and backdrops cause waste because you might not use that backdrop again and now will have to either store it or throw it away. Projections eliminate waste because you can program the computer to project just about anything you want it to.

This also helps to keep your carbon footprint down because projectors will only need a small vehicle to transport it instead of a large truck. If possible, ask the hotel if their conference rooms offer a projection system for use.

Use A Digital App Instead of Paper

Instead of handing out paper pamphlets or paper guides to your conference-goers, use a digital app instead. You can have all the information you need right at the attendees' fingertips. They only need to download the app and there is no waste left over once the conference is done. This also cuts down on cleanup for the hotel staff, thereby saving you money.

You could add games for them to play during downtimes during the conference or other interesting information about the city the conference takes place in or about your company as a whole. To further help your conference-goers out, you could add information about the hotel it takes place in as well. You can update the app over time to keep conference-goers updated on changes to your products or services too.

With a digital app, you can integrate it into your social media accounts. And those that can't attend can still feel like they are a part of the meetings because they will receive real-time information and video. It can actually extend your conference's reach that way too. Potential customers could also download the app to be alerted for future events.
